Presenter Instructions & Logistics

Whether you are attending the in-person or virtual meeting, your presentation or poster will reach thousands of attendees in Sacramento and online. Please review these instructions thoroughly to create a successful presentation and audience experience.

Registration requirement

You must be registered for the meeting in order to present. Please make sure the email address attached to your abstract/talk matches your registration. If you have questions about registration please email the APS Registrar.

April Meeting 2024 presenter policy

The April Meeting 2024 sorters reviewed and placed each abstract in the most suitable sessions. To maintain program consistency, adjustments to session assignments will not be accommodated.

Updates to the abstract content (title, body, and co-author list) will not be accepted.

If requesting a presenter change, the new presenter must be an existing co-author on your abstract and cannot be speaking on another oral contributed abstract. Depending on the time of your request, the new presenter may not be listed in the program. All presenters must be registered for the meeting.

In-person to virtual presentation policy

For those presenters who are no longer able to attend the meeting in person, APS will do its best to accommodate one of the following scenarios:

  • Presenters may have a co-author who is attending give the talk if they are not presenting in another oral session.
  • Presenters can submit a request via email to the APS Abstract Help team and ask that they be moved to an on-demand presentation by Friday, March 1, 2024. On-demand presenters can upload a video of their talk to the virtual platform by March 28. These videos will be available for attendees to view on-demand but will not be played in their original session slot or be live presentations.

Virtual to in-person presentation policy

APS will not accept any virtual to in-person changes. This change must have been made during the initial change period from Friday, January 5, through Sunday, January 14.

Withdrawals

If you need to withdraw your submission, please email APS Meetings no later than Friday, March 1, 2024, 5:00 p.m. ET.

Mobile app & virtual platform profile

All presenters are encouraged to create a speaker profile in the synced mobile app and virtual platform. This will allow you to connect with attendees and presenters from around the world in one system.

Permissions & license

In order to present you must agree to APS’s Permission Agreement and answer the Consent to Record question. Please review the License and Recording information and answer the required fields associated with your author acceptance.

We cannot post your talk without one of the two licenses. For questions, please contact APS Meetings.
