In-Person Presenter Instructions

APS is grateful to our presenters who shared their research at April Meeting 2024.

All presenters are encouraged to create a Speaker Profile on the Mobile App/Virtual Platform through the platform Speaker Console. This links the in-person and virtual audiences and increases the visibility of your work.

Session presentations

Invited, focus, oral, tutorial & short course

Please check the date and time of your presentation a few days before the conference in the Epitome or the meeting mobile app. Times and room locations may have changed since you received your author notice.

You must attend the meeting in Sacramento to present your presentation live. Web conference systems such as Zoom will not be available.

Visit the Speaker Ready Room in the SAFE Credit Union Convention Center. You can practice your presentation and upload your PowerPoint or PDF slides to the presentation management system here.

Arrive at your assigned presentation room 30 minutes before the session.

All session rooms are equipped with the following AV equipment:

  • PC
  • LCD projector
  • Projection screen
  • Lapel microphone
  • Laser pointer
  • Slide advancer (clicker)
  • HDMI switcher (please bring your adaptor if necessary)

Poster presentations

The maximum size for printed posters is 96 inches (243 cm) wide by 48 inches (121 cm) tall.

Bring your poster to the Exhibition Floor at or after 10:00 a.m. on the day of your presentation.

In-person presenters should upload their poster to the virtual platform one-page PDF of their poster, along with an optional five-minute video explaining the information. Virtual attendees will view your poster online and leave questions for you to answer. This is a great way to expand the audience viewing your research.

New: All posters uploaded by Monday, April 1, 2024, will be viewable on ePoster Kiosks at the convention center. This expands the visibility of posters past the scheduled session.

Upload your slides

Uploading your slides before April Meeting will create a smooth on-site experience as a presenter. By uploading your PPT or PDF slides to Orchestrate, April Meeting's presentation management system, you benefit from not having to spend time uploading in a Speaker Ready Room and it means your slides will be ready in your session room on the APS computer for an easy start to your presentation!

Orchestrate access

To upload your PowerPoint slides in advance, please follow the steps below:

  • Your APS web account information is needed and you must be registered for the meeting to access the system. If you have forgotten your password, please reset it here.
  • Log in to My Scheduler by using your APS credentials and follow the personalized instructions on the page to access Orchestrate and upload your slides.

    Please note: If there are no instructions available, contact us. You might have a different account in our system.
  • Name your files with your Session ID and Last Name. (Example: 3A 00001 Smith.pptx)

You will receive a confirmation email within an hour that your slides have been successfully uploaded. If you do not receive a confirmation, please check your spam folder before contacting Orchestrate. Please reference APS April Meeting 2024 as the conference name and provide the presenter’s full name when emailing Orchestrate.

For additional assistance, please go to the Speaker Ready Room in Meeting Room 5 on the second level of the SAFE Credit Union Convention Center.
